Where managers seem to be falling short

Product managers tend to have a lot of their plates as they are responsible for looking after a project's success, their customer's satisfaction, and debatably the most important - their team's wellbeing.

Especially in post-pandemic times, companies are prioritizing mental health in the workplace. The question is, is there a way to encourage vulnerability and measure the wellbeing of employees?

How can managers actively measure and support the improvement of one's wellbeing?

RelevantBits, a UX consulting company, gave us the task of defining metrics for team wellbeing and project success, as well as designing an application to visualize this data.

An all-in-one platform

My team and I decided to approach this issue by creating a wellness tracking app that enables employees to respond to wellbeing-related questions, which can be viewed by their managers. Also, the app has dashboard that makes it a convenient space to view all other project metrics.

Exploring a subjective issue

What does wellbeing mean?
The way we define mental wellbeing can look different from one person to the next, so our team started by defining what it meant to us, specifically in a work context.

How might we define our problem space

We started with a "How might we" exercise to be able to define the problem space we would be navigating. We considered what financial, customer/employee wellbeing, and project success metrics we wanted to include in our solution.

Finding opportunities for all stakeholders

Next, we began considering all the different personas. On the RelevantBits team there are: team leads, project managers, UX designers, and developers. From the customer side there are: team leads, product managers, project managers, and key stakeholders. We discussed each of their pain points and opportunities, and came up with user stories for each persona.

Defining a problem statement

Using our "How might we" statements, user stories, and concerns brought to us by the RelevantBits team, we were able to construct our problem statement.

Drawing insights from the exercises and meeting with the stakeholders from RelevantBits, I was able to come up with a persona for a project manager working for the consulting firm.

Considerations before jumping into designing

Privacy: "I don't want everyone to know I'm having a bad day"

Users may prefer to maintain a higher level of privacy, opting to disclose only essential information to their manager. So, we introduced individualized features, such as a mood tracker visible to only them, the choice to share statuses with specific teams or all teams, and a weekly check-in report accessible only to their direct manager.

Comfortability: "I don't feel like typing a status, I'll just share an emoji"

Users can utilize various mediums (text, voice notes, video messages, emojis, etc.) to respond to daily questions and update their statuses. This removes any pressure to conform to a specific format and empowers them to express themselves however they'd like.

Integration: "Great... now we have to sign up for another app"

Adding a new application in the mix may not excite employees. So having financial, project progress, and customer metrics, that are integrated from third-party applications in one platform may encourage its usage.

Branding

We chose the name "Svastha" for our product since it means wellbeing in Sanskrit. Sanskrit words are used widely in yoga (e.g. Aum), a practice used to help one's mental and physical wellbeing.

User Profile

On the profile page, managers can view their employee's daily statuses, response to their question of the day, see their mood tracker (if it was chosen to share), a log of their working hours, and view what other projects the member is on.

Project Dashboard

On a project dashboard page, users can view all project metrics, other members working on a project, their end-of-week survey, and get a general idea of how the team is feeling about the project's trajectory.

So what did I learn?

☝️Teamwork makes the dream work
This was my first design project in a team setting. Working alongside two talented designers allowed me to learn a lot about other people's design processes and try out some of their design methods. It was also interesting to hear everyone's perspectives of how they interpreted the problem statement and find ways to combine our ideas into one solution.

✌️Communication >>
Constantly checking in with the stakeholders throughout the duration of this project taught me a lot about how vital open communication is. There were times our team had misinterpreted some of their constraints and being able to check in and show them our progress gave us the confidence to say if we were moving in the right direction or not.

Parents Onboarding

After the parent has logged in through one of his social media profiles the app forwards him to chat with a bot that will take the information about the toddler.

All the information that was received during the parent's onboarding will be displayed to the nanny.

To decrease unnecessary engagement with explanations to the nanny the app will allow adding AR notes around the house.
